Touching Hearts at Home is searching for Private Duty Home Care Scheduler to assist with Caregiver and Client scheduling and to help put the “heart” into home care. Duties:
- Scheduling
· Responsible for scheduling our amazing Caregivers for all open cases, call-outs, vacation/time off requests, etc. based on the client’s needs and the caregiver’s skills and preferences.
· Be able to respond to scheduling conflicts, emergencies, and "call-outs". Schedule must be complete for the next business day/weekend before leaving for the day. Next week schedule should be completed by Wednesday at the end of business day.
· Deliver exceptional client and caregiver support and respond to client and caregiver requests with compassion and a sense of urgency.
· Have a proactive attitude for problem solving by thinking outside of the box.
· Be able to work independently and have excellent written and oral communication skills.
· Be able to manage a high volume of incoming calls, while placing several outgoing calls to staff open client shifts, on a timely basis.
· Maintain strict adherence to confidentiality & HIPAA regulations.
- On-Call Coverage
· Must be able to accept rotating on-call duty throughout the month per office administrator's direction for an average of two weeks per month. An additional $5,000-$6,000 a year in on-call bonuses available for further on-call duty days taken.
· While on On-Call duty, you are responsible for scheduling caregivers to work any call-out shifts and assisting clients with any issues that arise outside of business hours.
- Office Support Responsibilities
· Provide administrative support for all functions of the agency, including, but not limited to, filing and file maintenance, copying, faxing, etc.
· Discerns client services required as outlined in agreements, urgent requests and care plans.
· Enters staff and client information into database.
· Maintains staff and client database (e.g. dates and reminders of TB, client admission, client hospital admission and discharge).
· Maintains staff and client statistics, and reports.
· Maintains call – in and retention report.
· Occasionally assist with ongoing recruiting by scheduling and conducting caregiver interviews, maintaining orientation and new hire materials.
· Occasionally verify employment references and ensure that all state mandated documents are provided to the agency.
· Provide administrative support for all functions of the agency, including, but not limited to, filing, copying, faxing, etc.
Qualifications
· Experience working in Home Healthcare/Scheduling.
· Experience working in Home Healthcare software. Clearcare experience a HUGE PLUS.
· Home Health aide experience a plus.
· Must be extremely detail-oriented, organized and able to multi-task. Highly motivated and proactive.
· Must be accustomed to a fast paced, high volume environment with deadlines and last minute requests.
· Must be willing to undergo a Level 2 Federal Background check and drug test.
Schedule, Pay and Benefits:
· 9am to 5pm. Monday thru Friday.
· On Call Duty Schedule: Outside of office business hours.
· Biweekly pay (Tapcheck also available for daily pay draws).
· Paid time off.
· Bonuses on performance, scheduling fill rates, and case margins ratios.
