The Associate Executive Director is responsible to assist the Executive Director with all aspects of daily community operations. The Associate Executive Director has specific management responsibilities for direction of marketing and public relations activities and the coordination of the Life Enrichment Department. There is coordination between the Associate Executive Director and the Executive Director for duties related to management of community expenses and revenue.

- Direct the hiring, evaluation and scheduling of all marketing activity department personnel.
- Assure the complete and current employee personnel paperwork is on file for all staff in the community.
- Monitor staffing schedules for the marketing and Life Enrichment departments.
- Assist with all appraisals for employees in the marketing and Life Enrichment departments.
- Conduct regularly scheduled staff in-services as it pertains to the marketing, customer service and Life Enrichment department.
- Respond to all staff concerns in a timely manner.
- Coordinate with Executive Director to deliver in-house training programs for staff to gain knowledge of how to conduct community tours, respond to telephone inquiries and customer service. Delivers additional training modules as directed.
- Works with Executive Director to assure building preparation for tours. Assures model apartments are ready to show and overall building readiness.
- May conduct professional tours of community and provide information regarding scope of service and associated fees for personal care services, rent and other move-in fees required.
- Host weekly marketing meeting to coordinate, plan and execute marketing plan.
- Assist the Executive Director in their absence and to communicate all issues and needs of the residents to the community team.
- Serve as a proactive team member and set an exemplary example of leadership, innovation and dedication to the seniors we serve.
- Responsible for the administration of all human resource policies for the community including recruiting, performance management, benefits, scheduling and training.
- Directly oversee housekeeping, maintenance and dining services.
- Ensure all personnel matters are maintained and managed in accordance with company standards.
- Assist with direct and indirect care of residents and ensure all staff are properly trained and managed.
- Ensure the community is maintained and is keeping with Holiday Retirement Corporation guidelines.
- Conduct Service Plan conferences in the absence of the Executive Director.
- Implement Level of Care fees and coordinate invoicing of resident or responsible party for collection of these fees.
- Assist the Executive Director to conduct Resident Satisfaction Surveys.
- In all instances, serve as the liaison and conduit for all residents, their families and the administration of the community.
- In the absence of the Executive Director, serve as a liaison between the community, residents and community resources (home care, hospice, physician offices, transportation).
- Ensure periodic maintenance tasks are performed.
- Assist with selection and supervision of outside / contracted vendors providing services to and in the community.
- Review safety inspection reports generated by safety committee.
- Review safety committee meeting recommendations.
- Ensure emergency procedures / plans notebook is current and all staff is knowledgeable of its content.
- Coordinate apartment renovation / cleaning prior to new resident move-in.
- Assist the Executive Director in survey preparedness and Quality Assurance Audits.
- Assist with preparation of annual community budget.
- Ensure resident monthly invoices are accurate, distributed in a timely manner and that all rents and fees are received and rejected.
- Develop and implement monthly marketing activities and programs inclusive of community outreach activities, special events, media activities and direct mail.
- Establish model apartment for prospective residents; train all staff to do the same.
- Act as a liaison with community businesses, associations, clubs, etc.
- Develop staff awareness of their role as part of the community marketing team.
- Manage lead follow-up program. Responsible for callbacks, tours, inquiry calls, database development and follow-ups.
- Represent the community at community meetings, attending networking luncheons, representing community at trade show events, sponsoring and / or coordinating community presentations. Conduct weekly outreach calls to a variety of referral sources, not limited to medical professionals.
- Develop media advertising campaign. Special events that assist with meeting and maintaining occupancy goals.
- Manage professional and inquiry database.
- Participate in all aspects of marketing including tours, outreach, advertising and all required documentation.
- Implement periodic quality assurance measures.
- Develop and maintain a system for planning, coordinating and monitoring all occupancy and community relations activities for new and existing communities.
- Prepare and submit regular reports addressing occupancy, planned strategies to assist with meeting occupancy goals, issues and concerns affecting marketing / public relations to Director of Marketing.
- Other duties as assigned.
- You must have previous work experience within either an assisted living community or general healthcare.
- Minimum two years of experience / education in geriatric or health related field.
- Prior experience in management, budgeting, public relations and senior care preferred.
- High school education at a minimum. A Bachelor’s Degree is preferred.
- Must be familiar with State and Federal Human Resource laws.
- Must be willing to relocate.
- Must have leadership skills with team building and motivation ability.
